What Should an Entertainment Booking Confirmation Include?

When you book an entertainer, everything you've agreed should be written down. A clear confirmation protects you, the act and the venue. This is what to look for.

The essentials

  • Your name and contact details, and a contact for the day if different.
  • The act's name and, for bands, the line-up you've agreed.
  • The date and venue address, including the room if the venue has several.
  • Arrival time and when the act will be set up.
  • Performance times and the length of each set.
  • Finish time, including any venue curfew.

What the act provides

  • PA and lighting
  • Music between sets
  • Any special songs, such as a first dance
  • Costumes or props for themed acts

What you or the venue provide

  • Power supply near the performance area
  • Performance space of an agreed size
  • Parking and access for loading
  • A changing area for tribute acts and bands, if needed
  • Any meals or refreshments agreed for the performers

The money

  • The total fee. With Flair there are no hidden agency booking fees: the price we quote is the price you pay.
  • The deposit and when it is due.
  • When the balance is due and how it is paid.

Cancellation and changes

Check what happens if you need to cancel or move the date, and what happens if the act can't perform. A good agency has access to other acts and can help find a replacement.

Before the day

A week or so before, confirm arrival times, the running order and the names of any contacts. Small details like parking and access often cause the biggest delays.

Quick answers

Is an email confirmation enough?

A written confirmation by email that sets out the details is common. Keep a copy and read it carefully.

Should the venue see the confirmation?

Share the relevant details – times, power, space and arrival – with your venue coordinator.

What if something changes?

Tell us as soon as possible, and ask for the change to be confirmed in writing.
