A good tribute act can turn a function room into a concert. The guests know every word, the costumes and moves are spot on, and for an hour or so it feels like the real star dropped in. A poor match does the opposite: the wrong era for the crowd, a set that is too long for the room, or a performer who arrives to find there is nowhere to plug in.
We have been booking tribute acts for events across the UK since 1984. This guide walks through the steps we follow ourselves, so you know what to think about before you book and what to check once you have.
Step 1: Start with your audience, not your favourite artist
The most common mistake is booking the act you love rather than the one your guests will love. Before you look at any profiles, jot down three things:
- The age range in the room. A 60th birthday crowd will often respond best to Motown, the Rat Pack, ABBA or Elvis. A 30th might want Spice Girls, Little Mix or Britney.
- The mix of guests. Family parties with children and grandparents suit acts with broad appeal, such as ABBA, Queen or Take That, rather than a niche artist.
- The mood you want. A sing-along party needs big, familiar hits. A sit-down dinner may suit a smoother act like a Michael Bublé or Rat Pack show.
If you are torn between two artists, go with the one whose songs more of your guests would recognise in the first three notes.
Step 2: Decide what kind of show you need
Tribute acts come in several formats, and the format matters as much as the artist.
- Solo tribute to backing tracks. One performer, self-contained with their own PA. This is the most flexible option for function rooms, social clubs and private parties.
- Duos and groups. Acts such as ABBA Dreamgirls or a Spice Girls show bring several performers, choreography and costume changes. They need a bit more floor space.
- Live band tributes. These offer a bigger sound and more spectacle, and they need more room, more power and a longer set-up.
Ask yourself how much space you really have. A stage area that fits one singer comfortably can feel cramped for a four-piece group.
Step 3: Watch real performance videos
Promotional photos tell you how an act looks. Video tells you how they sound and how they work a room. On our site most acts have videos on their profile page. When you watch, look for:
- Live vocals rather than a studio recording dubbed over a slideshow
- How the performer interacts with the audience between songs
- Whether the costumes and staging match what you have in mind
If an act has public shows, going to watch one is the best research you can do.
Step 4: Check the date early
Popular tributes are booked months ahead, especially for Saturdays from May to September and every weekend in December. As soon as you know your date and venue, check availability. On each act's page you can use the live date checker, or use Check your date to see who is free across the roster.
If your first choice is taken, ask for alternatives. We can usually suggest a similar act that suits the same crowd.
Step 5: Talk to the venue before you confirm
Every venue is different, and a five-minute call to the events team can save a lot of stress on the night. Find out:
- Power. Where the nearest sockets are to the performance area and whether the venue has any restrictions.
- Sound limits. Some hotels and historic buildings have noise limiters that cut the power if the volume goes over a set level. The act needs to know this in advance.
- Access and parking. Can the performer unload close to the room? Are there stairs or a lift?
- Changing space. Tribute acts often change costume mid-show, so a private room or even a store cupboard helps.
- Finish time. Most venues have a curfew for live music.
When you enquire with us we ask for the venue, and we confirm these practical points as part of the booking.
Step 6: Agree the running order
Most tribute acts perform either two sets of around 45 minutes or one longer show. Plan where the sets sit in your evening:
- Leave time for food to be cleared before the first set.
- If there are speeches or a buffet, put them between sets rather than in the middle of one.
- Give the act a clear start time and a named contact on the night.
A simple timeline, shared with the act and the venue, keeps everyone on the same page.
Step 7: Understand the quote
Fees vary a lot between acts and dates, which is why we quote every event individually. The main things that affect the price are the act itself, the size of the line-up, the day of the week and time of year, travel distance, and the length of the performance. We cover this in more detail in our guide to what affects the cost of a tribute act.
When you get a quote, check what it includes: performance times, PA and lighting, and any travel or accommodation.
Step 8: Confirm everything in writing
Once you are happy, the booking is confirmed in writing with the date, venue, times and any special requests. We usually ask for a deposit to secure the date. Keep the confirmation handy and share the key details with your venue.
Special requests worth asking about
Plenty of tribute acts are happy to add a personal touch if you ask in advance:
- A birthday or anniversary shout-out at a set point in the show
- A particular song for a first dance or a special moment
- Bringing the guest of honour up on stage (handy for a surprise)
Not every request is possible, but it never hurts to ask when you enquire.
What if something goes wrong?
Illness and breakdowns happen, even to the most reliable performers. One of the advantages of booking through an established agency is cover. Our emergency letdown service runs 365 days a year, and if an act can't make it we work to arrange a suitable replacement, often on the same day.
A quick checklist
- Know your audience's age range and taste
- Choose a format that fits your space
- Watch videos of the act
- Check the date as early as possible
- Ask the venue about power, sound limits, access and curfew
- Plan the running order around food and speeches
- Read the quote carefully
- Get everything confirmed in writing
